Applying for an Erasmus Grant

Work placements in Europe

Students who will be undertaking a work placement in Europe during the period from July 2013 to July 2014 may be funded through the Erasmus scheme. There will be a compulsory briefing session held on 15th May 2013 in LTF at 16:00 hrs where information will be given about the grant. Please ensure you keep in touch with your Professional Training Tutor and our website for updates and more information about the session.

How to apply:

1. Students who have secured a work placement in Europe during their Professional Training Year 3 (PTY) should inform their PTY Tutor before completing the Erasmus work placement Application Form.  A current list of the PTY Department Co-ordinators can be found here.  Please ensure that you read the grant conditions before signing the application form.  Once the placement has been agreed with your PTY Tutor, please arrange for them to sign the application form.  The student then also needs to complete the Bank details form along with the Budget Sheet and bring all three along to the International Relations Office.

2. Discuss your plans with your parents, in particular the financial implications, as you need to be sure you can afford to work abroad before applying. Details about financial support were provided in the Talk on Budgeting for your period abroad in December, and are available in Surrey Learn. Please ask your Coordinator if you cannot locate it.

3. Your PTY tutor will send you an Erasmus Training Agreement, not unlike your department training agreement, which you and your host company will be required to sign prior to you starting your placement.  You should discuss this training agreement within the first week of your placement with your host supervisor.  Any revision to a Training Agreement found to be necessary when you first arrive at the organisation shall be finalised and formalised within one month of the student’s arrival.  Any subsequent changes to the Training Agreement which become necessary shall be formally agreed by all three parties and executed promptly.

4. The minimum period you can be funded through the Erasmus scheme is 3 months (12 weeks) and the maximum is 12 months.  Any changes made to the initial contracted period of work should be discussed with the student’s PTY tutor and the IRO.  Any changes to the period of work will have an effect on the grant allocation.  If the 3 month period is not adhered to the student will be required to repay the grant in full to the IRO.

5. A student working abroad and entitled to Erasmus funding will also be required to sign an Erasmus Student Mobility Agreement.  The IRO will endeavour to ensure the student receives a copy of this document before the start of the summer break, providing the IRO is in receipt of an Erasmus Work Application Form before 17th May.

6. Students who undertake two work placements should ensure they contact Sandra Hedley-Boxall (s.hedley-boxall@surrey.ac.uk ) in the IRO as soon as they have confirmed details of their second work placement.  Each Erasmus funded placement is treated individually and therefore the process of applying for a grant and completing the contract paperwork will need to be done before the start of the second work placement.

7. UK/EU students who undertake a full year of work in eligible European countries will receive an Erasmus fee waiver for 2013/2014.  This period can be made up of either one or two placements, in agreement with the department and the IRO, but must span the academic year for a minimum of 24 weeks, i.e. September – December,  January – March, April – June, with holidays taken at Christmas and Easter.  A tuition fee waiver is not possible for students doing a UK placement until Christmas and starting an Erasmus placement in January.  The only exception is for MPhys students who are required to start their placement in February.
