How do I request an item from the Journal Store (Closed Access)?

Have you checked if the journal is available electronically? Look at the Ejournals@Surrey list.

Have you checked if the item required is definitely part of the print holdings held in the Journal Store (Closed Access)? Look at the Library catalogue.

If your item is shelved in the Journal Store (Closed Access):

  • Fill in a separate form for each item you wish to request.
  • Forms are available from the Ask Me Desk at the Support Hub
  • Include: your Name, University number, and full details about the item required
  • Read and sign the copyright declaration
  • Writing legibly will aid Library staff in finding the item
  • Completed requests should be handed in at the Ask Me Desk at the Support Hub
  • • Alternatively, use the online application form (for members of the University only)

How many can I request at a time?

  • We reserve the right to restrict the number of requests processed during any one collection.
  • If you request more than 3 at any one time, they may be processed over two or more days.

How long will it take?

  • There is a daily collection at 3.00pm, Monday to Friday
  • Items should be available for collection after 5.00pm
  • There are no collections on Saturday or Sundays

What will I get?

  • If you make an online application, you may request a scanned copy be sent to your University email address
  • You may request a photocopy
  • If you do not request a scan or photocopy, the whole part or volume will be brought over to the Library for you to consult.
  • Also, the whole part or volume will be brought over to the Library for you to consult if any of the following apply
  • You have requested 2 or more articles from the same journal issue or part
  • The article is more than 5% of the same journal issue or part
  • We have been unable to produce an acceptable photocopy of the article, due to the constraints of the binding
  • You have specifically requested the whole journal part or issue.

Where do I collect the photocopy or journal from?

  • All items are collected from the Support Hub. Please show your campus card
  • Photocopied articles are for you to keep.
  • Journals, either whole volumes or separate issues, are reference only. They will be issued to you for use in the Library, and must be returned to the Support Hub.

Why has my request form been returned to me?

Your request form will be returned to you by a member of staff at the Support Hub:

  • If the article is available in the Library in print format
  • If the article is available online
  • If insufficient information has been provided to enable us to find the article you are seeking.

What if I am a visitor to the Library, wishing to consult a journal held in the Journal Store (Closed Access)?

  • The document delivery (photocopying/scanning) service is unavailable for external readers. However, the whole volume or part will be made available for you to consult. Journals are reference only.
  • You may place a request for an item held in the Journal Store (Closed Access) on the day of your visit, but please remember the item may not be available before 4.00pm.
  • You may prefer to plan ahead and place your request either by phone (01483 683325) or by email (Journals@surrey.ac.uk), before 1.00pm the day before you plan to visit us.
  • There is only one collection from the Journal Store (Closed Access) each day, Monday to Friday.
  • All items are collected from and returned to the Support Hub.
  • You will be asked to leave your Visitor’s pass or other ID while you consult the journal.
  • We reserve the right to restrict the number of volumes brought over for any one visit.
