    Working off campus

    A range of options are available for off-site access to University facilities and information. This section provides a guide on which services to use when working remotely. Please only log in to these services if you require additional access to services or applications.

      For access to email, H: drive files, instant messaging, voice and video calling, software and web services

      A number of services are accessible with a good internet connection. This method is suitable for the majority of staff at the University and is ideal if you do not need continuous access to corporate applications. 

      You will be able to use the internet to access your email via Outlook Web App or Outlook Desktop App (if using a university managed laptop), H: Drive files, Skype for Business (for instant messaging, voice and video calling and screen sharing), software and web based services such as SurreyLearn.

      A sample list of services available using the internet can be seen below. 

      • Email using Outlook on your desktop or Surrey365 web application

      • Skype for Business (instant messaging, voice and video calling, online meetings, screen sharing)

      For ad-hoc access to corporate applications, files and intranet

      The web-proxy service is a web based service that provides access to files and corporate web-services such as Agresso and Employee Self-Service that would usually only be available to computers connected directly to the University Network. The service uses two-factor authentication technology for a secure connection and is designed for staff and PGR students and is ideal if you need ad-hoc access to a small number of files from Home (H:)  or Shared (S:) drives or a web based corporate application.

      Once you have accessed the information required remember to logout to end your session.

      For continuous campus-based access to corporate applications such as Agresso, PeopleSoft, SITS, Employee Self-Service 

      The Virtual Private Network (VPN) enables you to connect your computer to the University network remotely over the internet. The connection is secure and uses encryption so any data sent between you and the University is safe. The VPN service allows you to access applications and files exactly as you would if you were on campus. This access is ideal if you need to access a large number of files or use a corporate application continuously.

      Installing and launching Skype for Business

      Skype for Business should already be installed on all university supported devices. To launch Skype you will need to:

      1. Click the Start menu
      2. Select All programs
      3. Select Microsoft Office
      4. Select Skype for Business
      5. Skype will open in a new tab
      6. &qu>You will be promoted to login using your university username and password.
        Note: Your username must be followed by @surrey.ac.uk e.g. ab1234@surrey.ac.uk.

      To install Skype for Business on your device you will need to:

      1. Visit surreysoftware.surrey.ac.uk
      2. Login using your university username and password
      3. Scroll down to Skype for Business
      4. Click Launch
      5. Once the program has been installed it will automatically start in a new tab.
      6. You will be promoted to login using your university username and password.
        Note: Your username must be followed by @surrey.ac.uk e.g. ab1234@surrey.ac.uk.

      Preparing to work off campus 

      If you need to work off campus it is a good idea to:

      • Connect to the University network regularly. It is important to bring in your laptop and connect it to the University network on a regular basis. This will ensure that you have the latest updates installed and the most recent files synced to your device if you do plan to work off campus. 
      • Test your device and access. If you have not used the Internet, web-proxy or VPN service to access files and applications remotely install and/or test the service prior to working off campus.

      University holiday closures 

      From time to time there may be university holiday closures or events such as snow days when staff and students may be required to work off campus. During these times:

      • Session limits will be significantly reduced to allow fair use of the service. Please ensure you minimise usage and only connect when necessary as sessions will be in high demand. 
      • Ensure that you logout of your web-proxy or VPN session after accessing the information you need as demand to use the service will be high. 
      • Remember that a number of services including email, Skype for Business (instant messaging, voice and video calling and screen sharing), H: Drive files and access to web services are available without the need to connect to any web-proxy or VPN services. Please only login to these services if you require additional access to services or applications.
