Attendance information

The conference and workshops will take place virtually over Zoom webinars, and the participation details will be shared with the registered participants before the event.

Instructions for presenters

  • Use a headset with microphone for better sound quality.
  • Avoid using external speakers during audience questions as this will result in echoing and feedback. Use headphones if possible.
  • Make sure you are in a quiet place and mute your phone.
  • If you use multiple screens, make sure you share the right one.
  • Make yourself available during the break before your session for test of screen sharing and microphone. Send a message in the Zoom chat so that the host can identify you and bring you into the session as a panellist.
  • When you share your screen in Zoom, share only a single application window instead of your entire desktop, unless you are doing a demo that requires multiple windows. This keeps the other content on your screen private.
  • Turn off your video if you don’t want it viewed during your presentation. If you have information in the top right of your screen that you want to be seen, turn off your video.
  • Ignore raised hands and questions during the presentation, the session chair will attend to those.
  • You will receive instructions from the session chairs regarding timing for presentation and Q&A.

Instructions for attendees

  • Use a headset with microphone for better sound quality.
  • Change the Zoom view options if the video tiles are overlapping the presenter's screen: You can set it to "side by side" or turn the video panel off.
  • If you have a question, raise your hand in Zoom. The chair will call on you and unmute you to ask your question. Alternatively enter your question into the Q&A box. The host will notice your question and read it to the presenter.
    • Avoid using external speakers when asking your question as this will cause echoing and feedback when the presenter responds. Use headphones if possible.
